Background The HR helpdesk administrator is at the frontline of HR interface with its clients. HR relies on this position holder to project a professional and people friendly image of HR Division during interactions with clients. 
Key Responsibilities:
• Performs receptionist functions such as answering all incoming calls and handle caller’s inquiries whenever possible; re-direct calls as appropriate and take adequate messages when required; professionally greet, assist and/or direct students, visitors and the general public.
• Provide information to callers
• Greet persons entering organization office
• Direct persons to correct destination
• Deal with queries from the public and customers
• Ensures knowledge of staff movements in and out of organization
• Provide general administrative and clerical support
• Prepare letters and documents
• Receive and sort mail and deliveries
• Schedule appointments
• Maintain appointment diary either manually or electronically
• Organize meetings
• Tidy and maintain the reception area 
• Provide office support services in order to ensure efficiency and effectiveness within the Office
• Direct the students and staff and the general public to the appropriate staff member
• Dispatching of documents
• Open and date stamp all general correspondence
• Maintain the general filing system and file all correspondence
• Assist in the planning and preparation of meetings, conferences and conference telephone calls
• Maintain an adequate inventory of office supplies
• Respond to public inquiries
• Issuing and maintaining Uniform records
• Stock take for Uniforms
• Placing Uniform Orders
• Provide secretarial support to staff 
• Perform clerical duties in order to maintain office administration such as develop and maintain a current and accurate filing system; monitor the use of supplies and equipment; coordinate the repair and maintenance of office equipment
• Support staff by providing administrative services 
• Perform other related duties as required

Person Specification:

• Bachelor Degree in relevant field with at least 3 years of relevant work experience.
• Possess an excellent problem solving, presentation, organizational and analytical skills; communication, interpersonal and customer service skills; and possess a professional and proactive attitude.
• Must have excellent Microsoft word, power point skills and Microsoft Skills.

• Previous or current work experience in a tertiary education institution.
• Customer service training certification.
• Experience in working in an organisation with multi-site operations.

Salary Base Salary FJD $17,922.00 plus 10% superannuation
