Background
The appointee will be responsible for the management of Stores and stock in the Division of Estates & Facilities in accordance with routine and prescribed programs and specific tasks with due optimum stock levels and ‘best buys’ and more recently best practice, while remaining within budgetary constraints. He/ She will be required to investigate supply sources, and provide relevant information to assist in the call for quotation(s) where required for the purchase and supply of materials, services, assets, tools and all other items related to the operations of the Division. Any other duties assigned as by the supervisor.
 
Key Duties:
•  Ensure that minimum stock levels are maintained and monitored for all stocks.
•  Receive all Purchase Orders issued to the Division and enter the data into a data base on an ongoing basis. This shall act as the Divisions Central Stock Management System.
•  Entry of all stock data and dispatch records from stock cards and/ or delivery notes, and/ or any other source documents as relevant into a data base on a daily basis.
•  Facilitate, monitor, and compile stock reports from all University campuses, centres and sites on a monthly basis.
•  Undertake stock audits at all University campuses, centres and sites on a quarterly basis, or as otherwise directed.
•  Confirm stock in hand for all items as and when requested by the respective Section Heads of the Division.
•  Oversee and assume responsibility, and direct the Stores Assistant on the release of all stock from the Stores on the prescribed Stores Requisition Form.
•  Coordinate the disposal of assets with the Division of Finance (Board of Survey) in liaison with the relevant sections within the Division.
•  Assume the overall responsibility to maintain the custody of all materials, assets, tools and all other items related to the operations of the Division at all University campuses, centres and sites.
•  Manage and coordinate the development of inventory control systems and procedures, including implementation of the Inventory Management System ie develop and implement inventory control procedures and best practices.
•  Reporting on stores inventory “stock in” and “Stock out” information including the update on the asset database
•  Management of stock rotation while minimizing the stock obsolescence. The incumbent should analyze or forecast the requirements and needs for stock items.
•  Ensure that all records on work orders are completed and submitted in a timely manner.
•  Auditing of all stock items and maintain the records of common auditing falls.
•  Receives delivered supplies, materials and equipment, confirms that delivered goods match the purchase and specification of quantity, condition, model and serial # etc.; complete all necessary paperwork for receive and issued items.
•  Develop an inventory monitoring and tracking system that will assist the University to streamline the control and supply of inventory stocks as required for business operation. 
•  Carryout any other duties as assigned by the supervisor.
•  Ensure that stock order and/ or stock replenishment is done as and when required.


 
Person Specification:
Essential:
•  Bachelor’s degree in the field of Accounting, Management or Information System with least 2 – 3 years of work experience as a Stores/ Inventory Coordinator with experience in automating   database for inventory management system 
•  Diploma / Advance Diploma in Information Technology or Management or Business Administration with at least 4 years of work experience as a Stores/ Inventory Coordinator with experience in automating database for inventory management system.

Desirable: 
•  Experience of supply chain.

Salary Base salary $28,684.00 plus 10% superannuation
